Job Type: Full-time, Exempt Employee Hire, initial 90-day trial period

Rate of Pay: $68,000 per year based on experience

Hart & Highland is a socially-focused marketing strategy and creative studio based in Los Angeles. This is a full-time employment role in Santa Monica, CA, with a partially remote and partially in-person schedule. We are looking for a candidate who will thrive in a start-up environment and wants to grow within a modern marketing and creative studio. AKA, grit and tenacity go a long way. Position Summary:

The Lead Project Coordinator is responsible for providing best-in-class client relationship experience, coordinating and managing projects for all agency projects to ensuring timely delivery and high-quality execution.

This role reports to the Director of Digital Media and works collaboratively with the entire team to create efficiencies and the most effective outcome for clients and Hart & Highland as a company. The ideal candidate will have a strong passion for project coordination,  and look forward to working within a fast-paced team environment with multiple consumer brands. You should have excellent communication skills, attention to detail, and a high level of determination to meet and overcome challenges. You should be ready to take initiative, keep all projects organized, meet deadlines, and work collaboratively with coworkers and clients. 

Responsibilities:

  • Provide best-in-class customer relationship experiences for clients.

  • Serve as the primary point of contact for assigned client projects, maintaining open communication and managing expectations throughout the project lifecycle.

  • Collaborate closely with Marketing and Creative teams, as well as other stakeholders, to understand project requirements, scope, and timelines.

  • Develop and maintain detailed project plans, including tasks, deadlines, resource allocation, and dependencies.

  • Monitor project progress and deliverables, identifying and addressing potential risks or issues proactively.

  • Coordinate and facilitate project meetings, ensuring effective communication and alignment among team members and clients.

  • Create agency SOPs in collaboration with department team leaders.

  • Manage project documentation, including status reports, change requests, and project closing documentation.

  • Ensure adherence to agency processes, best practices, and quality standards across all assigned projects.

  • Continuously seek opportunities to improve project management processes and efficiencies.

  • Evaluate and stay up-to-date with current technologies, tools, and applications to support client relationships, project management, and organization for Hart & Highland as an agency.

  • Perform ongoing research on current benchmark trends and audience preferences.

  • Based on available bandwidth: Collect data and support with analyzing and interpreting digital marketing results and constantly optimize for efficiencies (ROI and KPI’s).

  • Support with and coordinate ongoing Hart & Highland case studies.

  • Based on available bandwidth: Support with ongoing reports and client presentations.


Education, Experience, and Requirements:

  • Minimum of 2-3 years of experience in project coordination or a related role, preferably in a digital marketing or advertising agency environment.

  • Must have one of the following: a Bachelor's degree (B.A.) from a four-year college or university; or one to two years of related experience and/or training; or an equivalent combination of education and experience.

  • Strong understanding of project management methodologies and tools (Asana or Notion Preferred).

  • Excellent organizational, multitasking, and time management skills with the ability to prioritize tasks effectively.

  • Strong communication and interpersonal skills, with the ability to build relationships and collaborate with cross-functional teams and clients.

  • Proficiency in Google platforms (Docs, Sheets, Slides, etc.) and project management software.

  • Knowledge of digital marketing practices and strategies is a plus.

  • Problem-solving aptitude and the ability to think critically and adaptively in a fast-paced environment.
